IM Digital built an internal Business Automation and ERP system, replacing ad hoc tracking with controlled, status-based workflows, role-based access for Admin, Manager, and Staff, transactional server-side actions, automatic business-rule enforcement, and immutable activity logs recording every change with user, timestamp, and status.

KVM Generator wanted to replace manual, spreadsheet-driven tracking with a controlled system where every rental action followed a consistent, enforced process. The goal was role-based access, transactional actions that prevented stock corruption from partial failures or double-issuing, automatic enforcement of business rules, automated overdue detection, and immutable audit logs giving management full accountability.
We began with authentication and role-based access control, defining Admin, Manager, and Staff permissions so every user could only perform actions appropriate to their operational responsibility.
We built controlled, status-based workflows for issuing, extending, partially returning, and closing rental orders, replacing manual updates with a consistent, enforced process for every order.
We implemented server-side transactional actions enforcing rules like availability checks, valid dates, and return conditions, revalidating stock during each transaction to prevent conflicts.

KVM Generator managed roughly 150 owned generator units, from 15 KVA to 1000 KVA, alongside third-party units brought in temporarily to meet demand, all tracked manually across spreadsheets. Stock visibility across owned, third-party, available, issued, and overdue units was hard to maintain, and category-level quantities alone could not identify which unit had been issued to which client. The issue, extension, partial-return, and closure lifecycle was handled inconsistently, and third-party units sometimes stayed listed as available after being returned to their owner. Manual adjustments carried no accountability trail, leaving management unable to confirm who altered records, when, or why.
Tracking roughly 150 owned units alongside temporary third-party units across owned, available, issued, and overdue states manually made real-time stock visibility difficult to maintain accurately.
Category-level quantities alone could not identify which specific physical generator unit was issued to which client, making it hard to trace individual units through their rental lifecycle.

Third-party units sometimes remained listed as available in records even after being returned to their external owner, risking double-commitments against stock that no longer existed.

Strategic Approach
IM Digital approached the problem as a controlled workflow and accountability system rather than a simple data upgrade. We introduced role-based access separating Admin, Manager, and Staff responsibilities, then built status-based workflows for issuing, extending, partially returning, and closing rental orders as transactional actions that revalidate availability mid-process, preventing two staff from issuing the same unit at once. Rules like requiring a third-party owner, valid issue and due dates, and good return condition before restocking are enforced automatically, while scheduled checks flag overdue orders and immutable logs record every event for accountability.
We separated Admin, Manager, and Staff permissions, giving Admin full access and user management, Manager operational oversight and approved corrections, and Staff controlled create-and-view access to daily order handling.
Issue, return, extend, and remove-generator actions run as server-side transactions that revalidate unit availability mid-process, so partial failures or simultaneous staff actions never corrupt stock records or double-issue a unit.
Rules like requiring availability before issue, mandatory third-party owner fields, valid issue and due dates, and good return condition before restocking are enforced automatically instead of relying on manual review.
Scheduled checks now identify overdue and overtime rental orders automatically and feed alerts through the system, replacing manual checking of due dates across every active order in the business daily.
Every registration, issue, return, maintenance, and removal event is recorded in an immutable activity log and movement ledger, capturing the user, timestamp, and old and new status for full accountability.
